IFSA 2015 Guidelines for Keynote, Plenary, Oral, and Poster Presentations

This year’s IFSA conference is fast approaching. Below is some information to assist you in preparing for your presentation and an enjoyable conference experience.

Oral Presentations

Speakers are required to transfer their presentation to the Speaker-Ready computer system located in the IFSA Speaker-Ready Office using either a CD or USB drive. The computers located in the Speaker-Ready Office will have the same configuration as the presentation computers in the meeting rooms. Presentations in either a ‘pdf’ or ‘ppt/pptx’ and a 4:3 format are strongly encouraged.

All speakers are also strongly encouraged to load their presentation as early as possible but at least 4 hours before their session. Once transferred, speakers should preview their presentation to make sure it displays as intended. All talks will be transferred to the conference room presentation computer after they have been successfully previewed.

The total time allocations are 40 minutes for Keynote presentations, 30 minutes for Plenary presentations and 20 minutes for Oral presentations. These durations include 5 minutes for questions and answers.

All oral sessions will be equipped with an LCD projector, a Windows-based PC laptop, a Macintosh laptop, a wireless lapel microphone, a laser pointer, a remote to advance slides, and a confidence monitor.

All speakers must give their presentations from the computer systems set up in the conference rooms. Speakers will not be allowed to use their own computer to make the presentation. Presentations using overhead transparencies are not being supported.

These guidelines will ensure a smooth transition between speakers. Please note that session chairs will be instructed that session time lost due to technical difficulties from not following above guidelines will be subtracted from the presenter’s allocated time.

Poster Presentations

Poster sessions are an essential component of the IFSA conference. Posters will be displayed in three sessions. Please refer to the IFSA program overview to determine poster session location and times. The poster presenter is expected to remain at the poster site during the entire poster session. Each poster presentation has been assigned a number, and it must be mounted on the appropriately numbered board. Presenters can check the number by referring to the printed or on-line program.

Posters must fit within 46-inch width x 46-inch height (117 cm x 117 cm) and will be mounted by push pins, which will be supplied. Participants must bring their printed poster with them, as poster printers will not be available at the conference. Posters may be mounted anytime prior to the poster session on the assigned day. Please remove all posters at the end of the day.

Any special requirements concerning audio visual aids should be addressed to the local organizers well in advance of the conference.
